FRONT DESK COORDINATOR

JOB SUMMARY
We’re looking for a friendly, organized Front Desk Coordinator to serve as the first point of contact for visitors and customers. This role includes greeting guests, managing front‑desk activity, handling keys and payments, and supporting customer service and operations with accurate information. You’ll be a key part of creating a positive customer experience while ensuring the office, vehicle flow, and communication channels stay organized and efficient.
PRIMARY RESPONSIBILITIES
1. Front Desk & Visitor Experience
- Greet all visitors and customers, creating a professional and welcoming first impression
- Maintain a clean, organized, and presentable front‑desk and lobby area
- Manage vehicle drop‑off and pick‑up keys and direct customers to the appropriate team members
- Coordinate secure key access for off‑site locations and maintain accurate vehicle lot status
- Process in‑person and phone payments following established verification procedures
2. Communication & Customer Support
- Monitor and manage the general info email inbox and main phone line
- Route customer questions and requests to the appropriate team members promptly
- Follow up as needed to ensure inquiries are handled and customer needs are met
- Support Customer Service Representatives with administrative or coordination tasks as needed
3. Administrative & Operational Support
- Perform daily vehicle lot checks and track vehicle drop‑offs and pick‑ups
- Provide the team with accurate, up‑to‑date visibility of vehicle locations
- Identify and escalate vehicle, site, or workflow issues to Customer Service or Logistics
- Review, organize, and archive photos of completed work for quality records
- Manage office supplies and front‑counter organization
- Coordinate customer appreciation items such as gifts or meals as directed
- Assist with moving vehicles within the lot when needed to support workflow and safety
EXPERIENCE
- High School Diploma or Equivalent Preferred
- Prior Project Management and/or Customer Service Experience in Graphics Arts Industry Preferred

LOGISTICS COORDINATOR

JOB SUMMARY
We’re looking for a detail‑driven, proactive logistics coordinator who thrives on connecting the dots, managing many moving parts, and thinking several steps ahead. In this role, you’ll coordinate print production and installation schedules, manage pick‑ups and deliveries, handle subcontractor communication, and keep every project aligned across departments.
If you excel at balancing tact with firmness, safeguarding the schedule, and pushing projects through roadblocks, this role will feel like the right fit.
PRIMARY RESPONSIBILITIES
1. Scheduling & Workflow Coordination
- Use capacity tools to schedule work across Manheim and Smoketown
- Review and prioritize the scheduling queue; assign due dates for decals, signs, and vehicle projects
- Communicate schedule changes to internal teams and clients
- Anticipate and resolve conflicts to ensure on‑time completion
2. Job Creation
- Review job queue, order details, and workflows for all project types
- Create accurate Job IDs, QuickBooks jobs, and ShopVox jobs
- Adjust workflow steps based on project specifics (design vs. repeat vs. specialty)
3. Pick Up & Delivery Coordination
- Coordinate pick‑up and delivery requests with clients and drivers
- Assign drivers based on vehicle class requirements
- Schedule and update driver assignments in QuickBooks Time
- Provide clear day‑of direction to ensure smooth vehicle movement
4. Subcontractor Coordination
- Identify needs for outside services and select appropriate subcontractors
- Schedule and communicate project details and timelines
- Initiate POs and document subcontracted work
- Align subcontractor timelines with internal schedules
5. Administrative & Communication
- Lead daily morning huddle and afternoon scheduling meeting
- Maintain accurate information in ShopVox, QuickBooks, and the Capacity Gauge
- Document schedule changes and client updates for cross‑team visibility
- Monitor boards and resolve data discrepancies
EXPERIENCE
- Experience in scheduling, dispatching, customer service, or operations coordination
- Strong verbal and written communication; comfortable leading quick team meetings/huddles
- Proven ability to problem‑solve and handle shifting priorities
- Accurate administrative and data‑entry skills using scheduling or workflow systems
- Solid organization and multitasking abilities in fast‑paced settings
- Basic understanding of costs, vendors, or purchase order processes

ASSOCIATE INSTALLER

JOB DESCRIPTION
- The associate installer position supports the Cassel vinyl install team with vehicle preparation tasks while enrolled in Cassel’s Installer Training Program to become a vinyl installer.
- The associate installer will be introduced to the basics of vinyl installation and vehicle graphics, where they will provide support to Cassel’s install team as they grow their skill and ability to complete progressively difficult jobs.
- The primary focus of this role is to support the Cassel install team while gaining valuable experience that may materialize into a role as a full-time installer in 9-18 months.
REQUIREMENTS
- Experience working with vehicle graphics is helpful but not required.
- Some previous work experience is required, with a demonstrated ability to persevere in a labor-intensive work environment.
- Ability to lift at least 50 lbs, and work on the feet for the majority of the day.
EXPECTATIONS
While in training, the associate installer is most successful when they, not installers, are preparing workspaces and vehicles, which in turn allow installers to seamlessly move from one vehicle to the next. Other expectations include:
- Arrive at work on time and be ready to go
- Take direction from coordinators regarding what tasks to work on
- Work well with all team members, including team members outside the install team
- Embrace the role as a supporter of the install team and set Installers up to win
- Wash/prep vehicles (including removing lights and/or door handles when the job requires it)
- Vinyl removal
- Prepping material (weeding, cutting, papering, and labeling of vinyl)
- Staging vehicles (ensuring vehicles are in the right place and ready for installers to work on as they finish active jobs)

Cassel, a leading vehicle graphics company, is seeking a skilled and motivated vehicle preparation specialist to join our team. As a Vehicle Preparation Specialist, you will play a crucial role in ensuring the successful preparation of vehicles for graphics installation.
RESPONSIBILITIES
- Wash and prepare vehicles thoroughly for graphics application, ensuring a clean and smooth surface for vinyl adhesion
- Disassemble head lights, taillights, door handles, and other miscellaneous parts of vehicles to facilitate a more efficient graphics installation process
- Remove previous graphics to create a fresh canvas for the new designs
- Accurately assess the desired placement of vinyl to ensure preparation of the correct areas of the vehicle
- Maintain a high level of attention to detail to reduce risk of vinyl failure due to poorly prepared vehicle surfaces
REQUIREMENTS
- Proficiency in vehicle preparation techniques, including washing, surface cleaning, and graphics removal
- Familiarity with disassembling head lights, taillights, door handles, and various vehicle parts is a plus
